60Job Description:Temporary Executive Assistant to CEO required by a well-known not for profit organisation based in the City of London. The EA will provide comprehensive and effective executive support to the Chief Executive and support the organisation’s business operations.

This is an ongoing temporary role for approx 2 months (may be extended thereafter)

Pay rate:  circa £22.00 to £24.00 per hour (PAYE)

Working 35 hours per week – 2 to 3 days office based (flexibility required) – offices located in the City of London (TFL Zone 1) and within easy reach of 3-4 mainline stations.

This temporary role will start on Friday 23rd February 2024.

Duties :

  • Provide Executive Assistant and administrative support to the Chief Executive including preparing briefings, presentations, short reports and letters. This may involve sourcing information and initiating general correspondence on behalf of the Chief Executive.
  • Pro-active diary management and inbox management for the Chief Executive; using initiative to prioritise and/or flag important requests or communications, re-arranging diary as appropriate to take into account key priorities, key relationships and preparation time. .
  • Ensure an effective filing and bring forwards system is managed, maintained and improved as necessary in line with the business and digital needs.
  • Brief the Chief Executive on up-coming deadlines for both internal and external commitments such as reports, presentations, conferences and projects.
  • Arrange travel, accommodation and appropriate appointments such as meal reservations, co-ordinating with other diaries as appropriate and producing itineraries.
  • Attend to correspondence on behalf of the Chief Executive sending appropriate responses and preparing documentation on own initiative when appropriate.
  • Undertake or manage specific research and projects on behalf of the Chief Executive which may include presentation or report preparation.
  • Organise events such as pre-event or consultancies dinners in liaison with various high level stakeholders.
  • Budget planning, monitoring and managing for Presidential Team and Chief Executive, flagging variances and preparing for approval as appropriate.
  • Prepare, collate and circulate documentation for meetings, including agenda, minutes, papers, etc. and make meeting arrangements, both internal and external, by booking rooms, ordering refreshments, and booking equipment.
  • Take, prepare and circulate minutes of a selection of meetings as appropriate with assistance from the Assistant PA
  • Oversee the smooth running of administration associated with the Presidential Team.
  • Receive and handle telephone calls on behalf of the Chief Executive ensuring messages are relayed when appropriate and queries are dealt with in a timely and effective way.
