SUMMARY OF POSITION

What’s the Gig, you ask?

As a Reservation & Sales Executive at Clays, you will play a vital role at the heart of our sales team, combining exceptional customer service with confident sales execution. Youll be the first point of contact for many of our guests and clients, delivering a warm, knowledgeable, and engaging experience from the very first call or email.

Youll handle inbound enquiries across both leisure and corporate audiences, responding promptly, quoting with confidence, and providing tailored recommendations that reflect our premium offering. You’ll work closely with the wider Sales, Events, and Operations teams to convert bookings efficiently and ensure a seamless guest journey.

In addition to managing the reservations inbox and phone lines, youll support with the creation and distribution of daily run sheets, and during peak periods, assist with hosting or overseeing smaller events.

Youll thrive in a fast-paced, team-oriented environment, be highly organised, confident in client communication, and proactive in spotting sales opportunities. This is a great role for someone who loves hospitality, enjoys working across multiple functions, and is looking to grow in a dynamic, experience-led business.

DUTIES & RESPONSIBILITIES

Your role will include but may not be limited to the following responsibilities;

Reservations & Guest Communication

  • Respond to inbound phone and email enquiries in a professional, timely, and personable manner
  • Accurately record booking details and guest preferences in our reservation system – SevenRooms
  • Ensure smooth and clear communication of run sheets and booking details to Events and Operations teams
  • Support with the preparation and distribution of function sheets
  • Handle customer queries or changes efficiently and courteously

Sales & Client Conversion

  • Respond to event and group enquiries with well-crafted proposals, converting them into confirmed bookings
  • Achieve and exceed individual and team pre-booked sales targets
  • Identify sales opportunities from enquiries and upsell where appropriate
  • Confidently host site visits and client showarounds, showcasing our venue and experience
  • Build rapport with clients and tailor the experience to suit their event goals and preferences

Internal Collaboration & Admin

  • Ensure seamless handover of bookings to the Events and Operations teams
  • Maintain clean, accurate, and up-to-date records across all CRM and booking systems (Salesforce)
  • Work closely with the Sales and Events teams to ensure operational readiness and excellent guest outcomes
  • Ad hoc administrative tasks for the Sales and Events teams.

Skills, Experience & Attributes

  • Previous experience in a reservations, events, or sales coordination role within hospitality
  • A confident, warm, and engaging communication style both written and verbal
  • Strong organisational skills with the ability to manage multiple enquiries and tasks simultaneously
  • Proficiency in CRM and booking systems (e.g., SevenRooms, Salesforce) preferred
  • Strong time management and attention to detail
  • Able to stay calm under pressure and take initiative to solve problems independently
  • Commercial awareness and a drive to meet and exceed sales targets
  • A collaborative, can-do attitude and willingness to support across departments
  • Passionate about delivering memorable, guest-first hospitality experiences
  • Reliable, honest, and motivated by team success
