60Job Description:We are currently seeking an experienced and highly organised Dental Practice Manager/Office Manager to oversee the efficient and smooth operation of a newly opened practice located in TW12, London.
As the Practice Manager/Office Manager, you will play a vital role in managing the administrative, financial, and operational aspects of the practice. You will lead a team of dedicated staff members, ensuring exceptional client care, maintaining regulatory compliance, and fostering a positive work environment.
Responsibilities:
-Oversee the day-to-day operations of the dental practice, ensuring smooth workflow and efficient patient management.
-Manage and supervise a team of administrative staff, dental assistants, and other support personnel, fostering a collaborative and motivated work environment.
-Develop and implement office policies and procedures to enhance efficiency, productivity, and compliance with regulatory standards.
-Coordinate and schedule patient appointments, optimizing the utilization of dental resources and managing the appointment book effectively.
-Ensure excellent patient service and satisfaction by maintaining a welcoming and professional reception area and addressing patient inquiries or concerns promptly.
-Manage patient records and confidential information, ensuring compliance with data protection and patient privacy regulations.
-Oversee billing and financial operations, including insurance claims, accounts receivable, and financial reporting. Collaborate with the accounting department as needed.
-Monitor and analyze key performance indicators (KPIs) to assess the practice’s financial health, productivity, and patient satisfaction.
-Develop and maintain vendor relationships, negotiate contracts, and manage the inventory of dental supplies, equipment, and materials.
-Maintain compliance with relevant regulations and guidelines, including those set by the General Dental Council (GDC) and other regulatory bodies.
-Implement and maintain effective systems for staff training, professional development, and performance evaluation.
-Stay up-to-date with industry trends, best practices, and advancements in dental office management, bringing innovative ideas and solutions to improve practice operations.
-Foster a positive and supportive team culture, encouraging open communication, collaboration, and professional growth among staff members.
-Handle patient complaints or difficult situations, demonstrating excellent customer service and conflict resolution skills.
-Coordinate marketing initiatives and community outreach programs to promote the dental practice and attract new patients.
Qualifications:
-Proven experience as a Dental Practice Manager, Office Manager, or similar role within a dental or healthcare setting.
-Strong knowledge of dental office operations, including scheduling, billing, insurance procedures, and compliance requirements.
-Excellent leadership and management skills, with the ability to inspire and motivate a team.
-Outstanding organisational and multitasking abilities, with a keen attention to detail.
-Proficient in dental practice management software and computer systems.
-Strong financial acumen and ability to analyse and interpret financial data.
-Excellent interpersonal and communication skills, with the ability to build rapport with patients, staff, and external stakeholders.
-Knowledge of regulatory and compliance requirements in the dental field, including GDC guidelines.
-Problem-solving skills and the ability to make informed decisions under pressure.
-Professional demeanour, integrity, and commitment to maintaining confidentiality.
