Job Summary by the Career Balance Team:
Pertemps is currently recruiting for a Facilities Coordinator position on behalf of their client based in Stafford Park, Telford. The responsibilities of this role include dealing with telephone enquiries, liaising with contractors, updating spreadsheets and presentations, conducting site audits, and providing support to the Facilities Management team. The ideal candidate should have strong communication skills, experience in Facilities Management/Property Management, good numerical skills, and the ability to work both independently and as part of a team. The working hours are Monday to Friday, 37.5 hours per week, and the salary ranges from £24,000 to £28,000 per annum depending on experience.
Job Description:Facilities Coordinator
Pertemps are currently recruiting for a Facilities Coordinator on behalf of our clients’ team based in Stafford Park, Telford.
Responsibilities include but not limited to:
• Dealing with incoming telephone enquiries.
• Liaising with contractors.
• Creating and updating spreadsheets and presentations.
• Completion of site audits and filing.
• Support the Facilities Management team with various administration duties.
• Protecting the interests of the client.
• Conduct any facilities/building related business in a professional and business-like manner.
• Updating and managing the RiskWise system.
• Updating and management of the SafeContractor system.
• Auditing and managing of the site logbooks.
• Develop and maintain a filing system.
• Answer and direct phone calls with helpdesk jobs.
• Organise and schedule meetings and appointments.
• Maintain contact lists.
• Produce and Distribute correspondence.
• Book travel arrangements.
• Submit expense reports.
Health and Safety requirements:
• Ensure you are fully conversant with Safety, Health & Environmental (SHE) policies and any operational procedures made under these relevant to their role.
• Responsible for the care of the H&S of yourself and of other persons who may be affected by your acts or omissions at work.
• Report all accidents involving injuries and illness verbally to your immediate superior and if applicable a First Aider and record the incident in accordance with the Company’s health and safety policy.
• Inform the FM/Property & Asset Manager immediately of any work situation which you reasonably consider representing a serious and immediate danger to any person
• Never to perform work you are not qualified to do or have not been properly trained for.
• Seek medical treatment for all injuries you sustain (no matter how slight they appear).
Ideal Candidate:
• Strong communication skills, both verbal and written.
• Experience within Facilities Management/Property Management (preferred)
• Good numerical skills including computer literacy (Excel, Word, MS Outlook)
• Ability to work alone or as part of a team
• High level of organisational and administrative skills
• Able to use initiative and take responsibility
• Attention to detail and problem-solving skills
• Team player
• Ability to work under pressure
• Health & Safety general knowledge
• Experience with S2 RiskWise portable desirable
Hours: Mon-Fri | 37.5 hours weekly | Full time, Permanent.
Salary: £24,000 – £28,000 per annum Dependant on Experience.
